Commercial Window Replacement: what to specify, and how the job actually runs

Replacing the windows in a working building is a programme, not a purchase. This guide covers commercial window replacement from survey to handover: how to specify frames that will still perform in fifteen years, how the work is phased around an occupied building, and what a comparable quotation has to contain.

A commercial replacement is judged on disruption, not just on the frames

On a house, the windows are the job. On a commercial building, the windows are the easy part. What decides whether the project is a success is how the work moves through a building that still has to trade, teach, treat patients or ship orders while it happens.

That is why two quotations for the same building can differ so widely and both be honest. One has priced a product. The other has priced a programme.

The four variables

Occupancy.
Whether the building empties, partially empties, or never stops.

Access.
Ground floor, scaffold, mast climber or rope access changes everything.

Opening variation.
Older buildings rarely have two identical openings.

Making good.
Reveals, sills, plaster and decoration after the frames are in.

Specification

What to specify, and what to leave to the manufacturer

A specification that names outcomes rather than products gets you comparable quotes and a better building. These are the decisions worth making before anyone prices the work.

Exposure, honestly assessed.
A coastal elevation in the north west and a sheltered courtyard in the same town are different specifications. Wind-driven rain is what finds a weak seal.

Which openings must open.
Ventilation, means of escape and cleaning access are decided at survey, not on site. Retro-fitting an opener later is expensive.

Thermal performance as a target, not a product.
State the performance you want the assembly to reach and let the manufacturer meet it. Naming a product locks you into one supplier.

Glazing by function.
Solar control on a south elevation, acoustic where you face a road, safety glazing to the critical locations. Not the same glass everywhere.

Hardware to match the traffic.
A door or window in a school corridor is operated hundreds of times more often than one in an office.

Colour and finish, inside and out.
Dual colour is straightforward when specified at order and impossible afterwards.

How replacement runs in a building that stays open

Most commercial replacement happens around people. The sequence below is the one that causes the least disruption, and it is worth agreeing before the order is placed rather than in week three.

1. Survey every opening

Not a sample. Older commercial buildings settle, and openings that look identical on the drawing rarely are. A full survey is what keeps the programme from stalling on a frame that does not fit.

2. Manufacture to the schedule

Frames are made to the surveyed sizes, elevation by elevation, so they arrive in the order the building needs them rather than all at once with nowhere to store them.

3. Replace in zones

One elevation, floor or wing at a time, so the rest of the building carries on. Each zone is opened, replaced and made weathertight within the working day wherever the openings allow.

4. Make good and hand over

Reveals, sills and decoration, then a walk round against the schedule. Anything outstanding is listed and dated rather than left to be chased.

Repair or replace

When commercial window repair is the better answer

Replacement is not always the right call, and a supplier who says so is worth keeping. Repair usually makes sense where the frames are sound and the failure is in a component.

Failed sealed units.
Misted glazing in otherwise good frames is a glass replacement, not a window replacement.

Hardware wear.
Hinges, handles and locking gear are replaceable and are the most common cause of a window that no longer closes properly.

Gasket and seal failure.
Draughts and water ingress often trace to perished seals rather than the frame itself.

Replacement becomes the better answer when the frames themselves have failed, when the thermal performance is holding the building back, or when you are repairing the same openings repeatedly. At that point the running cost of repair is buying you nothing.

What actually moves the price of a commercial window replacement

We do not publish figures, because a price given without seeing the building is a guess and a commercial programme has too many variables for a rate per window to mean anything. What we can tell you is what a comparable quotation has to separate out, so that two prices can actually be compared.

Commercial window replacement, answered

Can commercial windows be replaced while the building is occupied?

Usually, yes, and it is the normal way this work is done. The building is replaced in zones rather than all at once, with each opening made weathertight before the team leaves it. What matters is agreeing the zones and the working hours before the order is placed, so the programme is built around how the building actually operates.

How long does a commercial window replacement take?

It depends far more on access and phasing than on the number of windows. A single elevation reachable from the ground moves quickly; the same number of openings four floors up behind a scaffold does not. The realistic answer comes from the survey, and any programme offered before a survey is an estimate rather than a commitment.

Should we repair or replace our commercial windows?

Repair where the frames are sound and the fault is a component: a failed sealed unit, worn hardware or perished gaskets are all repairable. Replace where the frames themselves have failed, where thermal performance is the problem, or where the same openings keep coming back. Repeated repairs on the same windows are usually the point at which replacement becomes the cheaper option.

What should a commercial window quotation include?

Frames and glazing by elevation, access equipment and how long it is on site, removal and disposal, making good and to what standard, and any out of hours or phased working. If those are bundled into one figure, two quotations cannot be compared, and the difference between them usually turns out to be scope rather than price.

Can you match existing windows in a partial replacement?

Often, and it is a common requirement where only part of a building is being done or where the elevation has to stay visually consistent. Because we manufacture rather than resell, sizes, sightlines, colour and finish can be made to match what is already there rather than to a standard range.
